SMS-verified Wi-Fi sign-in: how it works end to end

Published: 20 September 20263 min read

In brief

The guest types a number, a code arrives, the internet opens. What happens in those seconds, and which settings break it?

SMS verification is the most common sign-in method for guest Wi-Fi. The guest types a phone number, enters the code that arrives, and goes online. That is all they see. Behind it, several services run in sequence.

The flow

  1. The number is entered. The portal checks its shape: country code, digit count, leading zero.
  2. A code is generated. Usually 4–6 digits, random and short-lived. The code is not stored in the clear; a digest of it is.
  3. The text is sent. The box calls the SMS provider's API. The provider hands it to the operator, the operator to the phone.
  4. The code is entered. The portal compares it against the stored digest.
  5. Access opens. The device joins the authorised list and a session record opens.

On a healthy line, steps 1–5 take 15–25 seconds in total. Most of that is step 3, on the operator's side.

Settings that break it

The sender ID is not approved

To send commercial texts in Türkiye, the sender ID you use has to be registered with your provider. If it is not approved, the message either never goes out or falls into the provider's test mode. In test mode a text is sent, but its content is not what you wrote, so the code never reaches the guest.

This is the single biggest time sink during setup. Instead of assuming a network fault and spending hours on network settings, check the sender ID status in your provider's panel first.

The balance has run out

SMS providers reject requests once the balance is empty. An error code comes back, but on the user's side it simply looks like "no code arrived". Setting a balance threshold and getting an alert removes this problem entirely.

Repeated requests to the same number

Most providers block messages sent to the same number within a short window. If an impatient guest hits "resend" several times, the second and third message stall at the provider.

Putting a 60-second wait on the resend button prevents both this and needless SMS cost.

Clock drift

A code's validity is calculated against the device's clock. If the box runs in a virtual machine and its clock drifts, you get codes that are already expired the moment they are created. Make sure time synchronisation is working.

Cost

The price per message depends on the provider and the package. We are not printing a figure here, because it changes often and a wrong number would wreck your budget planning. Instead, here is how to do the maths:

Monthly messages ≈ daily unique guests × 30 × (1 + resend rate)

In practice the resend rate sits between 5% and 15%. Turning on device remembering pushes it down noticeably: the same guest reconnects on their second visit without a code.

SMS does not have to be the only method

SMS does not suit every guest:

  • Guests from abroad. Texts to foreign numbers cost more and do not always arrive. This is where hotels hit trouble most often.
  • Guests who would rather not share a number. A voucher or e-mail option helps here.
  • Regulars. With device remembering, no code is needed on the second visit.
  • Meeting visitors and contractors. A time-limited voucher from reception is more practical.

A well-designed portal makes SMS the default but keeps the other methods open. That lowers SMS cost and leaves no guest stuck at the door.

A backup provider

Depending on a single SMS provider is risky. When the provider has an outage, guest sign-in stops completely.

Defining more than one provider and failing over when the first returns an error removes that risk. Defining a separate provider for foreign numbers is an extension of the same idea.

Summary

SMS verification is technically simple and operationally detailed. The flow itself takes seconds; what breaks it is almost always the sender ID, balance and rate-limit settings on the provider's side. Check those three before setup and the rest runs quietly.
